Planning strategy for internal communications

Public Relations Department ensure s that internal communications within staff of the company are effectively supervised, well coordinated, and responsive to the various needs and requirements of all the stakeholders. The department holds a set of planned and sustained activities which support the delivery of good communications and corporate recognition. By using VIP Task Manager, PR Director can plan the strategy for development and support of internal communications and assign tasks to the employees of the department to implement the strategy. When PR Director plans the strategy, he may set the following tasks:

  • Build and maintain internal communications system
  • Develop key messages of internal communications to maintain the company activities
  • Manage events for creation of the corporate culture
  • Coordinate creation of corporate brand and attractive company image
  • Approve the format of company standards and take control over the document flow within internal communications
  • Coordinate organization of internal events
  • Assist in preparing of the"News" block in cooperation with Research and Business Analysts

VIP Task Manager allows to specify each of these tasks by using task groups. For example, PR Director can create a new task group" Manage events for creation of the corporate culture" in the company database and add a list of tasks, such as" Corporate gifts on Christmas", "Organize corporate party","Organize seminar for employees to announce new corporate image", and "Prepare news releases, feature articles and reviews".

Monitoring tasks for internal communications

When the tasks of the strategy for development of internal communication are assigned, PR Director needs to monitor their performance and track current status. He can use VIP Task Manager to track the tasks changes in Notification Panel. VIP Task Manager automatically sends notification to all assigned employees and supervisors once the task was modified. For example, the copywriters of PR Department will be notified immediately about new task "Write Christmas Greetings". If PR Director has a lot of work, VIP Task Manager allows delegate part of his authorities to supervisors so that they will be responsible for tracking progress of this task

Reporting

The management of PR Department should periodically analyze staff activity to be sure that all tasks are well performed and everything is going according to the plan. PR Director needs to be sure that the strategy for development and support of internal communications is running according to the plan and there are no procrastinations in all related tasks. VIP Task Manager allows to make daily reports which can show tasks performance for each employee of PR Department. For example, copywriters can build task report in HTML view that states such information as Status, Due Date, Start Date, Assignment, left comments and feedback.
