Setting task due dates
Usually a software development project has strict timeframes and milestones. For example, to plan a new release for software product, the manager responsible for software marketing and promotion needs to set up due dates for the tasks, such as “Write new version newsletter”, “Send the newsletter to subscribers”, “Add new features to product page on web site”, “Replace product description release for submit” and “Submit new version press release to online magazines”. These tasks are placed in the task group “New release 4.0”. The latest due date of these tasks will show the deadline for this task group.

Recurring tasks
When planning software development projects, there can be used two kinds of tasks: tasks that occur once and recurring tasks (tasks that occur repeatedly during the course of a project). For example, the project leader may define the weekly status meetings as a recurring tasks “Meeting with development team” and all developers will gather at appointed time in the meeting room. In VIP Task Manager a task recurrence can be configured with such recurrence options as event time, a recurrence pattern, a number of occurrences, and other.
Task reminder
When mapping out a plan and setting task due dates, the project leader can apply a task reminder to avoid task procrastinations. For example, the project leader can set up reminder to the task “Meeting with development team” so that all the developers were timely and automatically informed of upcoming meeting. In VIP Task Manager the task reminder appears as a pop-up window or email message. It can be configured to be raised at exact date/time or before Due date, Start and Finish time. |
Setting task priorities
In VIP Task Manager, The Priority column shows the level of importance given to a task (Lowest, Low, Normal, High, Higher, and Urgent). Priorities can be also assigned to tasks to evaluate their relative values as part of the project management strategy. In a software development project the project leader can use priorities when there are any changes in the plan and the due dates are not longer the main target of the project. In addition, priorities help to avoid over-allocated tasks. For example, several tasks are scheduled at the same time for one resource “Tester”. This causes the tasks to be over-allocated, so the project leader should prioritize these tasks and re-allocate them according to their priority. For example, task “Add new features to product page on web site” has higher priority than the task “Send the newsletter to subscribers”, because subscribers after reading the newsletter will visit the website, which should be updated by that time. |
